Quarantine Process Description

1. Import request is completed by PI staff and sent to ARCM.

2. Relevant Health Status Report from sending institution is received by ARCM and matched to the import request. The sending investigator usually requests health reports of their veterinary staff. The recipient investigator may also make this request of the sending institution. Due to the volume of imports, the ARCM cannot be responsible for obtaining health data for import requests.

3. The rodent health surveillance program description is sent from the sending institution (International shipments only).

4. Once the approvals are complete i.e. health status is approved by veterinary staff, protocols approvals are in-date, and financial arrangements are set, the quarantine coordinator will send permission-to-ship to the corresponding institutional personnel identified on the import request or personnel identified by prior ARCM experience with that institution. This document will give the shipping address and other instructions to the senders.

5. Once the senders respond and arrange with the quarantine coordinator the shipping date; and the anticipated receipt date is determined, the quarantine coordinator assigns a quarantine lot number to the transaction. This number will be used throughout the rest of the process to refer to the transaction.

6. The animal care staff records the arrival date in quarantine. The date is communicated to the quarantine coordinator by animal care staff or is determined during rounds in the room.

7. The sample date is the date when sentinels are harvested for testing (serology, PCR, parasitology, other). This date is determined as a function of time after the sentinels assigned to the quarantine lot are first exposed to the colony.

8. The disposition date is the date when the test results are confirmed to the veterinary staff.

9. If results are negative i.e. no excluded pathogens have been detected in the imported lot, the lot is cleared (moved to the destination facility and room requested in the import request.

10. If results indicate the presence of a pathogen, the lot will fail quarantine and be disposed of by either of the 2 methods chosen by the investigator in the quarantine application.

    a. The lot will either be killed, or

    b. Sent to a commercial vendor for rederivation at the investigator's expense.

11. For cleared lots, moving day for cleared quarantine lots occurs after the clearance date as soon as space in the barrier is available and the animal care staff can accomplish the task safely for the animals in the lot.
